How to's on all enrollment processes, including editing, canceling, and scheduling enrollments

How to edit an enrollment:

Things to note:

  • Any "queued" invoices will be updated with the new enrollment price. 
  • The next scheduled invoice will automatically queue
  • Any currently unpaid invoices will not be automatically updated

How to cancel an enrollment on a specified date:

  1. Log into Curacubby
  2. Click on the "Students" tab
  3. Find the desired student
  4. Click the student's name to visit the student's profile
  5. Click "Enrollment"
  6. Click "Change Enrollment"
  7. Toggle ON the cancel enrollment option
  8. Select "On Date"
  9. Enter the date on which enrollment will be canceled

Please note:

  • Any unpaid invoices will not be removed.
  • All future invoices will no longer be generated.
  • You will no longer have access to create custom or "ad-hoc" invoices until this student is enrolled again.
  • If you enter a cancel date prior to the invoice send date, invoices will not be sent for that schedule. If you enter a cancel date after the invoice send date, invoices will still be sent for that schedule.

To add a new scheduled enrollment please follow the steps below:

  1. Log into Curacubby
  2. Click the Students tab
  3. Find the desired student
  4. Hover over the settings (gear) icon
  5. Click the change enrollment (pencil) button
  6. Click the +New Enrollment button
  7. Select the enrollment changes you wish to make by selecting desired programs and removing any unwanted programs
  8. Select a Campus *if applicable
  9. Enter the desired start date
    1. Please note: The scheduled enrollment start date will affect the invoice scheduled to be sent following the specified enrollment start date. The scheduled enrollment will not affect an invoice that is sent prior to the scheduled enrollment start date, even if the invoice date is after the scheduled enrollment start date. For example: If invoices are scheduled to send on January 15th and due on January 20th, you must make the scheduled enrollment change effective before January 15th to affect the invoice due on January 20th. If the effective date is on or after January 15th, then the invoice due on January 20th will not be affected (however, the student’s next scheduled invoice will reflect the updated enrollment).
  10. Click Save

How to delete a scheduled enrollment:

To delete a scheduled enrollment change please click the "Delete" button on the "Enrollment" page. 

  1. Log into Curacubby
  2. Click on the "Students" tab
  3. Find the desired student
  4. Click the student's name to visit the student's profile
  5. Click "Enrollment"
  6. Find the scheduled enrollment you wish to delete
  7. Click "Delete"

Helpful Hints:

  • If you delete the queued invoice, another invoice will not automatically queue until the next scheduled billing cycle.
  • Please do not edit the invoice dates of any queued invoices. If you need to edit the invoice dates, please copy the invoice and edit a "Saved Temporarily" invoice. (Ex. If you enroll a student and the invoice queues for February, but you need to send an invoice for January, do not edit the February invoice to change the invoice date to January. Instead, create a copy of the February invoice, then change the dates on the copied invoice.   • If you choose to utilize the "notify immediately after save" when matriculating a student, the next invoice will not get queued. It will be sent out immediately to the parent and go into the "unpaid" status.
